Executive Secretary
1. Administrative Support:
Manage the General Manager's calendar, schedule meetings, and coordinate appointments.
• Prepare and organize documents, reports, and presentations for internal and external meetings. Handle travel arrangements, including booking flights, accommodations, and ground transportation.
⚫ •Maintain confidentiality and handle sensitive information with discretion.
2. Communication:
• Serve as the primary point of contact between the General Manager and internal and external parties, including staff, clients, vendors, and partners.
⚫ 3. Meeting Coordination:
Screen and prioritize incoming calls, emails, and other correspondence for the General Manager.
• Plan and arrange meetings, conferences, and events, ensuring all logistics are in place.
Attend meetings as required, take minutes, and distribute meeting notes or action items.
4. Data Management:
• Maintain and organize electronic and physical files, records, and documents, ensuring easy retrieval.
Assist in data entry, information retrieval, and analysis as needed.
5.Office Management:
•
Ensure the smooth operation of the executive office by ordering supplies, managing office equipment, and liaising with the facilities team.
6. Special Projects:
Assist the General Manager in various special projects, research assignments, and initiatives.
7. Reporting:
• Prepare regular reports, including financial, performance, and executive summaries as required by the General Manager.
Qualifications:
• Bachelor's degree or equivalent work experience. •
Proven experience as an executive secretary or administrative assistant supporting high-level executives.
• Excellent communication skills, both written and verbal.
• Proficiency in using office software (e.g., Microsoft Office Suite) and digital communication tools.
• Strong organizational skills and attention to detail.
• Discretion and the ability to maintain a high level of confidentiality.
• Ability to multitask and prioritize tasks effectively.
• Knowledge of office management and administrative processes.
• Professionalism and a positive, service-oriented attitude.
