Job Description:

Job Description:

  • Operate the switchboard to handle calls, messages, and transfers while managing all incoming and outgoing correspondence, including post and emails.
  • Greet visitors at reception, have them sign the visitors' log, notify the relevant staff member of their arrival, and maintain a clean, organized, and professional reception area.
  • Manage communication with accreditation bodies and certification agencies, ensuring compliance with standards, training requests, tracking renewal schedules, and submitting required documentation on time.
  • Organize training sessions via online meeting platforms and ensure meeting rooms are fully equipped with materials, refreshments, and technology for virtual or in-Issue certificates for successfully completed training courses.
  • Coordinate training sessions by preparing course forms, inspecting venues, and assisting trainers and participants while also handling typing, printing, and photocopying of letters, reports, and documents.
  • Provide administrative support to course stakeholders, including trainers, sales, and colleagues, while preparing course materials by reviewing, editing, printing, and binding documents.
  • Liaise with key suppliers, including hotels, catering, office maintenance, and travel agencies, ensuring service quality, compliance with company standards, and acting as the primary point of contact for external vendors.
  • Arrange logistics, including hotel bookings, transportation, meeting schedules, couriers, and taxis as required.
