HR Admin Assistant
The HR Administrative Assistant provides comprehensive administrative support to the Human Resources department, ensuring the efficient and smooth operation of HR functions. This role is crucial in maintaining HR records, supporting recruitment activities, assisting with employee relations, and contributing to a positive work environment. The ideal candidate will be highly organized, detail-oriented, possess excellent communication skills, and maintain a high level of confidentiality.
Key Responsibilities:
Administrative Support:
Maintain accurate and up-to-date employee records (physical and digital) in compliance with company policies and local regulations.
Prepare HR-related documents, letters, reports, and presentations as required (e.g., offer letters, contracts, termination letters, memos).
Manage HR department correspondence, including emails, calls, and general inquiries.
Schedule and coordinate meetings, interviews, and HR-related events.
Assist with filing, data entry, and other administrative tasks to support the HR team.
Recruitment & Onboarding Support:
Assist in posting job advertisements on various platforms.
Schedule interviews, send invitations, and manage candidate communications.
Prepare onboarding kits and assist with the new hire orientation process.
Ensure all new hire paperwork is completed accurately and in a timely manner.
Employee Relations & Support:
Act as a first point of contact for basic employee inquiries regarding HR policies, procedures, and benefits.
Assist in organizing employee engagement activities and company events.
Support HR initiatives aimed at fostering a positive and inclusive workplace culture.
Maintain strict confidentiality of all sensitive employee information.
Leave & Attendance Management:
Assist with tracking employee attendance and leave requests (e.g., annual leave, sick leave) and updating records in the HRIS/ERP system.
Ensure proper documentation and adherence to leave policies.
Payroll Support (as needed):
Assist in gathering and verifying necessary data for payroll processing (e.g., attendance records, leave data).
Ensure timely submission of payroll-related information.
Compliance & Reporting:
Assist in ensuring HR operations comply with relevant labor laws and company policies.
Support the preparation of various HR reports and metrics.
Qualifications:
Diploma or Bachelor's degree in Human Resources, Business Administration, or a related field.
2-3 years of proven experience in an HR administrative or assistant role.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Familiarity with HRIS/ERP systems is highly desirable.
